Payroll FAQs

Frequently Asked Questions

What ways can we transmit our payroll data to AccuChex?

We offer a secure online system that allows you to input all payroll data and submit your own payroll. The system gives you access to all reports and employee information. Not into using a computer, that’s ok. You can call our office, fax or email your payroll data for us to process on your behalf.

How are taxes paid?

941 federal tax deposits are paid through the Electronic Federal Tax Payment System (EFTPS), required for companies with over $50,000 in employment taxes in a calendar year, as required by the North American Free Trade Agreement (NAFTA). These include taxes reported on form 940, 941 and 943. Also included electronically are forms 720, 945, 990-C, 990-PF, 990-T, 1042, 1120 and form CT-1. All state and federal unemployment taxes are paid on a monthly or quarterly basis, as required. These returns are balanced, reconciled, signed and filed with the appropriate parties. The W-2’s are sent to the Social Security Administration.

Does AccuChex assume liability for errors?

Once AccuChex begins processing your payroll, we are liable from that point as long as we handle the processing of the payroll as well as paying the payroll taxes ourselves. If taxes are mistakenly reported, we will assume the penalties for the errors, not you. It is our responsibility to take this function and burden out of your office.

How do I get my reports?

We offer a few different options for you to receive reports, primarily based on how you submit your payroll data. For those clients using our secure website, there is a reporting section with over 120 reports that are a few clicks away. We also can write a custom report if you need one that is not already loaded. For clients who do not process through our secure site, four standard reports will be automatically sent to you every pay period.

My business is not located in South Carolina, can AccuChex handle our account?

Yes, we are headquartered in Myrtle Beach, SC but we currently serve clients in 26 states across the country.

I would like to switch payroll providers but isn’t the process quite tedious?

Switching payroll providers can seem like a major headache, that is why we make switching to AccuChex and smooth and painless as possible. We will work with you and do 99% of all the leg work, so the only thing that will change for you is the name of the company.

Why should I leave our national payroll vendor?

Nobody likes to be treated like a number or having to hold on the line forever when you need a question answered. We provide superior service, greater flexibility, and technology to you at a fraction of the cost of the national payroll providers. A live person answers the phone every time usually solving most issues on that 1st call, before you hang up, and our awesome staff of payroll specialists get to know our clients, and never give out case numbers for questions or issues. We pride ourselves on offering exceptional service and always going above and beyond, which is why we have been in business for over 30 years!

I want to offer a paperless payroll process by offering direct deposit but what if some of my employees do not have bank accounts?

There are two options for a paperless payroll process: We can arrange for an onsite meeting with a bank representative to assist in opening a checking account for that employee. Or we can provide your employee with a Visa pay card. Employees will have their wages deposited automatically onto their card on payday. At any time, employees can go to an ATM to withdraw their funds for cash or can continue to use that card for their transactions much like a debit card.

Am I locked into a contract with AccuChex?

There are absolutely no contracts when using AccuChex. If you wish to leave AccuChex at any time for whatever reason, we will provide you with any of the necessary reports in order to make your switch as painless as possible.

Is there a minimum or maximum number of employees I must have in order to use AccuChex?

There is no minimum or maximum number of employees required to use our services. We provide payroll services for small businesses, mid-size companies and large corporations. The number of employees range from 1 to 1,000 plus.
